1. Introduction
Orbit("we", "our", "us") is an AI-powered task and project management app for freelancers, operated from the Philippines. This Privacy Policy explains how we collect, use, and protect your information when you use our iOS and Android app and our website at www.orbithq.net.
By using Orbit, you agree to this Policy. We comply with the Philippine Data Privacy Act of 2012 (RA 10173).
2. Information We Collect
Account information:
- Name, email, and profile photo.
- Sign-in details when you use email/password, Sign in with Google, or Sign in with Apple.
Content you provide:
- Tasks, projects, subtasks and checklists, comments, tags, and due dates.
- Workspace and collaboration content you create or share.
- Client records you enter about your own clients (names, emails, addresses, hourly rates, currencies).
- Time-tracking entries and invoices (line items, amounts, logos).
- Images you upload for clients or projects, and file attachments.
- Notification preferences.
Voice input:
- The Ask Orbi assistant offers optional speech-to-text using your device or operating system speech recognition.
- Audio is processed to produce text. We store the resulting text, not the audio.
Device and diagnostics:
- Crash reports and diagnostics via Sentry, including device model, OS version, and app version.
Payment and subscription information:
- If you subscribe to Orbit Pro, we receive your subscription status and entitlement from the app store.
- We never see or store your card numbers.
Support and chat:
- Messages and contact information you share through our live chat (Tidio) or the contact form on our website.
Push tokens:
- Device push tokens used to deliver notifications through the Expo push service.
3. How We Use Your Information
- To provide, maintain, and improve Orbit.
- To sync your tasks, projects, and other content across your devices.
- To manage your Orbit Pro subscription and entitlements.
- To generate AI responses and suggestions when you use AI features.
- To send notifications you have enabled.
- To provide customer support.
- To keep the service secure and diagnose problems.
- To comply with legal obligations.
4. AI Features and Your Data
Orbit includes AI features such as Ask Orbi, task breakdown, and suggestions.
- When you use these features, the text you submit and relevant task or project context is sent to OpenAI, a third-party AI provider, through our servers to generate a response.
- Under OpenAI's API terms, this content is not used to train their models.
- Please do not submit sensitive personal data to AI features.
- AI output may be inaccurate. You must review it, and it is not professional advice.
5. Third-Party Service Providers
We work with trusted providers who are bound by contract to protect your data and use it only to provide their services to us:
- Supabase: database, authentication, storage, and edge functions.
- OpenAI: powers our AI features.
- Apple and Google: authentication and in-app purchases.
- Sentry: crash reports and diagnostics.
- Tidio: live chat support.
- Expo: push notification delivery.
6. Data Sharing
We do not track you across other companies' apps or websites and we do not sell your data.
- We use no third-party advertising SDKs.
- We do not share your data with data brokers.
- We share data only with the service providers listed above, or when required by law.
7. Your Clients' Data & Client Portal
- You are responsible for the data you enter about your own clients and for having the right to store it.
- The client portal lets you share read-only project status pages through secret token links (for example, orbithq.net/portal/[token]).
- Anyone who has a portal link can view that page, so share links carefully.
- Images you upload for clients or projects are stored in a public storage bucket and are accessible by public URL to anyone who has the link.
8. Data Retention & Account Deletion
- We keep your data while your account is active.
- You can delete your account in the app at Settings > Account > Delete Account, or by emailing us.
- Deleting your account permanently removes your account and associated data. Backup copies are purged within a reasonable period, typically 30 days.
- Invoices and legal records may be retained where required by law.
9. Your Rights
Under the Philippine Data Privacy Act of 2012 (RA 10173), you have the right to:
- Access, correct, delete, or export your personal information.
- Object to certain processing and withdraw consent.
We also honor GDPR-style and CCPA-style rights where they apply to you. Contact us at support@orbithq.net to exercise your rights.
10. Security
- Data is encrypted in transit (TLS) and at rest.
- We use row-level security to keep your data isolated.
- No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
11. International Data Transfers
Orbit is operated from the Philippines, and our providers may process data in other countries. Where data is transferred internationally, we take steps to ensure it remains protected.
12. Children's Privacy
Orbit is not directed to children under 13. We do not knowingly collect data from children under 13.
13. Changes to This Policy
We may update this Privacy Policy. The updated version will be posted in the app and on our website, and continued use of Orbit constitutes acceptance.
