Task automation that handles the routine

Smart status keeps every task's status current on every plan. With Orbit Pro, build your own rules: when something happens to a task, or on a schedule, Orbit does the rest.

The essentials

When this happens, do that

Every rule is a trigger, optional conditions and one or more actions. Smart status comes ready-made; Pro lets you build the rest.

  • Free plan

    Smart status, free

Four built-in rules move tasks between To Do, In Progress and Done as you check off subtasks or start a timer.

  • Pro plan

    Triggers for every change

Run a rule when a task is created, completed or reopened, its status or priority changes, a tag is added or it moves to a project.

  • Pro plan

    Date triggers

React when a due date is approaching, a task becomes overdue, or a due date is set, moved or cleared.

  • Pro plan

    Conditions

Narrow a rule with up to 10 conditions on status, priority, project, client, tag, days until due or the title.

  • Pro plan

Up to 8 actions per rule

Set status, priority or due date, move or archive the task, add tags, create a follow-up task or checklist item, or notify yourself.

  • Pro plan

    Schedules

Run a rule daily, on the weekdays you pick, or monthly, at a set time in your time zone.

Smart status keeps tasks current

Switch each smart status rule on or off: tasks complete when their subtasks are done, start when you check off a subtask or start a timer, and reopen when you add a subtask.

  • Every change it makes is logged with your automation activity

Rules of your own

Pick a trigger, add conditions if you need them, then chain the actions. Each rule shows when it last ran and how many times.

  • Start from a ready-made template and tweak it
  • Limit a rule to a project, a client or tags
  • Post to a connected Slack or Discord webhook
  • See every run in the Activity tab

A rule in three steps

  1. Pick a trigger

Choose what starts the rule: a change to a task, a date, or a schedule.

  2. Add conditions

Optionally narrow it down, like only high-priority tasks for one client.

  3. Choose the actions

Add up to eight actions, switch the rule on, and Orbit runs it for you.

Custom rules come with Orbit Pro

Smart status stays free on every plan. Orbit Pro adds custom rules, rule templates and scheduled rules, plus Orbi AI with up to 200 requests a day.
